This document sets forth the general terms and conditions for using Proakademika services. These terms apply to all clients utilizing Proakademika services, including technical formatting, language proofreading, document validation, and other supplementary services offered.

1. General Definitions

  • Proakademika refers to the service provider of technical support and formatting for academic documents.
  • Client refers to the individual placing an order or using Proakademika services.
  • Services refers to all services offered by Proakademika, including but not limited to technical editing, language proofreading, similarity checking, AI detection reporting, layout conversion, slide formatting, and other supplementary services.
  • Minor Revision refers to corrections of layout or grammatical errors made by the editor, strictly within the scope of the ordered service.
  • Major Revision refers to modifications outside the initial scope, including adding content, major structural restructuring, switching university templates mid-process, or providing a new file that significantly changes the editing workload.

2. Scope of Services

  • Proakademika focuses on technical document editing and basic language proofreading services.
  • Proakademika is not responsible for the scientific substance, the validity of research data, analysis results, research methodology, or any decisions made by advisors/examiners.
  • Proakademika does NOT offer thesis ghostwriting (joki) or academic writing from scratch.
  • Proakademika does NOT provide unethical similarity reduction services, data fabrication, or any actions violating academic integrity.
  • The client retains full academic responsibility for the content and substance of the manuscript.

3. Ordering and Pre-review

  • Orders must be placed through official communication channels designated by Proakademika.
  • Before starting work, Proakademika may perform a brief pre-review to determine the appropriate service level, document complexity, page count, and time estimates.
  • Initial price quotes may adjust after the pre-review if the file structure is found to be significantly more complex than initially described.
  • Timeframe estimates officially start only after the file is deemed complete and payment is confirmed.

4. Client Obligations

The client is obligated to:

  • Provide files in editable formats, preferably `.docx` (Microsoft Word), unless agreed otherwise.
  • Provide complete drafts, including tables, figures, appendices, campus formatting guides, and other relevant supporting files.
  • Provide clear instructions from the beginning of the order.
  • Review the finalized draft before submitting, printing, or presenting it to the university.
  • Maintain polite and cooperative communication throughout the service process.

The client remains fully responsible for the authenticity of the manuscript, accuracy of the data, citations and bibliography, alignment with institutional directives, and any academic consequences arising from the document's submission.

5. Payment Terms

  • Payments are due upfront. However, for orders exceeding Rp 150,000, clients may pay a 50% deposit upfront, with the remaining 50% balance due upon screenshot verification that the formatted files are ready.
  • Installment options or phased payment terms (e.g., bab-by-bab) can be established in writing via a contract.
  • Proakademika reserves the right to pause or refuse work if the agreed-upon deposit or full payment has not been received.
  • Payment proof must be submitted by the client through agreed communication channels.
  • The agreed price applies strictly to the initial scope of work. Extra tasks outside this scope will incur additional fees.

6. Delivery Timeframes

  • Turnaround times start once complete drafts are received and payment is confirmed.
  • Operating hours and business days affect the estimated delivery date.
  • Delays in document submission, delayed instructions, or major advisor revision requests may affect delivery timelines.
  • Proakademika reserves the right to adjust delivery schedules under exceptional circumstances to ensure formatting quality.

7. Revisions Policy

  • Each service package includes minor revisions as stated in the package terms or initial agreement.
  • Minor revisions only cover correction of errors made by the editor that fall within the initial scope.
  • Revision requests submitted at separate times may be counted as separate revision rounds.
  • Major revisions or extra tasks outside the initial scope will incur additional fees and a new timeline.
  • Revisions requested due to changes in university regulations, new advisor requirements, or new text files provided by the client are not covered by the initial price.

8. Limitation of Liability

  • Proakademika does not guarantee that your manuscript will be accepted immediately, pass exams, or get published without revisions.
  • Proakademika is not liable for advisor rejections, sudden changes in university guidelines, university portal errors, or third-party check discrepancies beyond our control.
  • Proakademika is not liable for any layout issues arising if the client or another party modifies the finalized document after delivery.
  • The client must perform a final check of the files before submission.

9. Similarity and AI Reports

  • Similarity and AI detection services are strictly limited to running checks and generating reports.
  • Proakademika does not guarantee specific similarity scores or AI percentages once the document is revised by other parties.
  • Reports generated from third-party platforms are subject to system changes and rules set by those respective platform providers.

10. Data Confidentiality

  • Proakademika protects the confidentiality of your documents and data during the formatting process.
  • Client files will not be shared with outside parties without permission, unless required by law.
  • The client acknowledges that sharing files via third-party channels (like messaging apps, email, or cloud drives) carries inherent technical risks.
  • Proakademika reserves the right to delete client files after a reasonable operational timeframe following project completion.

11. Service Etiquette

  • All communications must remain polite, clear, and professional.
  • Proakademika reserves the right to terminate service or refuse orders if faced with abusive, coercive, disrespectful, or unlawful behavior.
  • Service slots are limited, and we reserve the right to decline projects if we are at full capacity or if the deadline is unrealistic.

12. Cancellations and Refunds

  • Once editing work has commenced, payments made are generally non-refundable.
  • If a cancellation request is made before work begins, a refund may be issued minus administrative or slot reservation fees, if applicable.
  • If a project is cancelled mid-way at the client's request, Proakademika reserves the right to retain a portion of the payment matching the amount of work completed.
  • Refunds are not issued for dissatisfaction due to personal preference changes, new advisor instructions, or requirements outside the original scope.

13. Policy Amendments

  • Proakademika reserves the right to update these terms at any time.
  • The latest version will govern new orders upon publication.
  • For active projects, the terms in effect at the time of order placement shall apply, unless agreed otherwise in writing.

14. Website and Web Technology Use

  • The Proakademika website is provided on an "as-is" basis. While we strive to keep the site accessible, we do not guarantee uninterrupted, delay-free, or error-free operations.
  • Data scraping, hacking, siber attacks (like DDoS), malware injection, or abuse of forms/web features is strictly prohibited.
  • The client is responsible for securing their devices and network connections when uploading or downloading documents.
  • Our website may contain links to third-party sites. We do not control and are not responsible for the safety, content, or privacy policies of those external websites.

15. Client Consent

By placing an order, accessing the website, uploading documents, or sending payments, you are deemed to have read, understood, and agreed to all the general terms and conditions of Proakademika.
